Set-up
Exhibitors need to arrange to have their booths completely set during posted set-up hours. Exhibitors will be allowed into the hall one hour prior to opening for final touch-up and testing of equipment. No exhibit installation will be permitted on Monday, October 17.

Exhibit Package
The Exhibit Package includes a 10' x 10' piped and draped booth, one complimentary full and one complimentary expo only conference registration, an ID sign, 24-hour security beginning Sunday, October 16, through Tuesday, October 18, listing in the conference program, listing on the Annual Meeting web site, and a list of pre-registered attendees in Excel format.  All exhibitors must follow the IAEE Guidelines for Display Rules and Regulations.

Booth FeesPer 10x10 exhibit booth:  $2,250 EACUBO Member rate; $2,500 non-member rate.

Exhibitor Full Registration Passes: These registrations allow the badge holder access to all areas of the annual meeting, including the Exhibit Hall, throughout the conference. This does not include those events for which participants must purchase tickets or are invitation only events. Once you have reached your complimentary allotment, additional Exhibitor Full Registration Passes can be purchased.  With each booth purchased, an exhibitor will receive one complimentary full conference registration.

Expo Only Registration Passes:  These registration passes allow the badge holder access to the Exhibit Hall only and all functions included in the exhibit hall.  With each booth purchased, an exhibitor will receive one expo only registration.  Additional Expo Only registration passes can be purchased for $200 each.  These passes are available to exhibitors only.

Payment
A 50% non-refundable deposit must accompany the online Application/Contract. In no case will a booth be assigned without the deposit. The remaining amount will be invoiced and due no later than August 15, 2016.

EACUBO accepts credit card payments (Visa, MasterCard, AmEx,).

Exhibit Assignments
EACUBO includes all non-annual meeting sponsorships and advertising contributions into our priority structure. We wish to recognize all of our corporate partners for their support throughout the year. Booth space is assigned on a first-come, first-served basis with consideration given to sponsors and past exhibitors.

Decorator Services
EACUBO has selected AGS Expo Services as the official service contractor. Drayage, furniture, floral services, labor to set up and tear down, and other special requirements must be arranged through the service contractor.

Other services such as electrical needs, catering, etc., may be ordered directly through the hotel.  Please see decorator and hotel ordering forms which will be available in the Exhibitor Services Kit.

Service contractor information and order forms will be available to confirmed exhibitors no later than 90 days prior to the conference.

Confirmation Letter
Upon acceptance of your Application/Contract and payment, exhibiting companies will receive a confirmation letter, via e-mail, with their booth assignment. All other confirmation material, including the decorator service kit will be accessible through a password protected website, Exhibitor Service Center (ESC). The ESC is designed to provide you with all the information you need to check your booth location, review your account status, pay your outstanding booth balance, update your company profile for the on-line listing, etc. Take time to review exhibitor information provided there.

Cancellation
Cancelation of exhibit space must be made in writing to EACUBO via email to exhibits@eacubo.org or fax to 866-342-0217. Telephone cancellations will not be accepted.

Please note: 50% of the total booth fee is non-refundable. The remainder of the total booth fee will be refunded if the cancelation request is postmarked or faxed on or before 60 days prior to the start of the Annual Meeting or August 15, 2016. After August 15, 2016, all fees are forfeited and no refunds will be made for any cancellation request postmarked or faxed after August 15, 2016. The EACUBO Exhibits Manager will confirm receipt of all written cancellation notices. EACUBO will only honor those cancellation requests whose receipt has been confirmed.

Insurance
Exhibitors are required to obtain insurance for:
$1 million commercial general liability, with products and completed operations liability in the same amount. EACUBO and the EACUBO 2016 Annual Meeting shall be listed as additional insured and aggregate limits shall also be $1 million.
